Managed Facilities for Multi-Location Outpatient Groups

MedServ becomes the facilities and equipment department for groups with three or more locations: one team handling intake, vendor and technician coordination, preventive programs, approvals and records across every site.

Who Managed Facilities is for

The relationship fits groups where facility and equipment work has outgrown a few people, a shared inbox and a vendor list.

  • Outpatient groups with three or more locations
  • An operations or finance leader responsible for facilities without a dedicated facilities department
  • Groups adding, acquiring or renovating locations
  • Groups with an internal facilities lead who needs coordination and recordkeeping support

What MedServ handles

Request intake and triage

One channel for facility and equipment requests from every location, with location, priority and context captured once.

Vendor and technician coordination

Licensed trades and qualified equipment providers scheduled, informed and followed up until the issue is closed.

Preventive maintenance programs

Recurring building and equipment maintenance planned by location and documented after each visit.

Medical equipment service coordination

Sterilizers, exam chairs and tables, lights and other confirmed equipment routed to the right provider, with service history kept by unit.

Approvals and spending visibility

Estimates and approvals follow the limits and approvers you set, so work moves without surprise invoices.

Location and asset records

Landlord and vendor contacts, equipment details, warranties, service history and open items organized by location.

Who is responsible for what

Clear responsibility is the point of the relationship. Each party keeps the decisions and work that belong to it.

Your practice

  • Clinical and patient-care decisions
  • Budgets, approval limits and approvers
  • Which work goes ahead and when

MedServ

  • Intake, triage and routing
  • Scheduling, follow-up and status
  • Records, reporting and handover

Landlords, trades and manufacturers

  • Lease and building obligations
  • Licensed trade work such as HVAC, plumbing and electrical
  • Warranty and manufacturer-specific service

What the management relationship covers

The management fee covers the agreed intake, coordination, follow-through, records and reporting. Labor, parts, travel, third-party service and projects are quoted and approved separately under your agreement, so you always see what a job will cost before it proceeds.

Pricing depends on the number of locations, the equipment and building scope, and how much coordination your team wants MedServ to carry. We set it out in a written proposal.

How onboarding works

Onboarding builds the foundation every later request depends on.

  1. Map locations and responsibilities

Confirm each location, its contacts, landlord and lease responsibilities, and access details.

  2. Record equipment and current vendors

List key equipment and the providers already serving each location, and note gaps.

  3. Set intake and approval rules

Agree how requests come in, what counts as urgent, and who approves what amount.

  4. Establish preventive schedules

Set recurring building and equipment maintenance by location.

  5. Review and improve

Review open work, repeat issues and upcoming needs with your team on a regular schedule.

Better information for repair-or-replace decisions

Because every visit is recorded by location and asset, you can see repair history, age and warranty status when a unit keeps failing or a budget is due. MedServ helps assemble that picture and obtain replacement quotes; the decision and budget stay with you.

Where MedServ works

MedServ is based in Tampa Bay and supports outpatient groups across Florida, including Tampa Bay, Sarasota to Port Charlotte, Ocala and Leesburg, Daytona and Jacksonville.

Field availability varies by location and type of work and is confirmed during onboarding.

Managed Facilities questions

Does MedServ replace our facilities manager?

Not necessarily. Some groups use MedServ as their facilities department; others use it to support an internal facilities or operations lead with coordination and records.

Do we have to change vendors?

No. Vendors that are working well can stay. MedServ brings them into one intake and record and fills gaps where a location needs a qualified provider.

Is every repair included in the management fee?

No. The fee covers management. Labor, parts, third-party service and projects are quoted and approved separately.

Can buildouts and renovations be part of the relationship?

Yes. MedServ plans and coordinates projects with licensed contractors and hands the finished space into maintenance with warranties and equipment records in place.

How many locations do we need?

Managed Facilities is designed for groups with three or more locations. Smaller practices can still request service for individual issues.
